Setting up a weclapp connection
This way, receipts, payments, item and inventory are automatically transferred back and forth between Servire and weclapp.
With this integration, every receipt is sent to weclapp as an invoice – paid and updated with the inventory check. item remain up-to-date in both systems, and inventory levels can be synchronized automatically if desired. You configure this in the Web desk under Settings → Integrations → Inventory Management (ERP).
The Max tariff, an accepted data processing agreement (the assistant will ask for it), and the employee right Manage Accounting Connection – as the owner, you have this. For inventory reconciliation, the inventory management system in Servire must be active.
Prepare in weclapp
Generate an API token: in weclapp under My Settings → API. The user needs permissions for sales, inventory, point of sale, and open items.
Under Sales settings, enable the option Allow manual item prices in sales – the prices come from the cash register.
Provide a gross distribution channel (e.g., standard gross), a warehouse with storage space, and a cash register for cash transactions.
Connect and set up
On the weclapp map, click on Connect. The wizard will guide you through four steps:
Connect: Enter the address of your weclapp instance (e.g., mybusiness.weclapp.com) and the API token. Receipts from determines the date from which Servire will transmit receipts.
Basics: Distribution channel for prices, warehouse, customer for point-of-sale transactions (Servire creates "Point-of-sale transactions (Servire)", or you select one), whether Servire item are created in weclapp, and whether the stock levels are synchronized – including the question of which system manages the stock.
Assign: Assign your payment methods to the payment methods in weclapp and select the cash register for cash transactions.
** item**: Link sales items from weclapp, create new ones in Servire , or ignore them. Servire suggests matching item by EAN, item number, PLU, or name. Finally, use inventory synchronization to transfer the initial stock.
The transfer will only start once the setup is complete.
What is being transmitted
Each receipt becomes an invoice for the customer for point-of-sale transactions or for the guest; a cancellation results in a credit note. Servire enters cash payments into the weclapp POS system and reconciles them with the invoice; cashless payments are marked as paid.
Paid receipts become outstanding invoices; payment settles them.
If weclapp has the item in stock, Servire records the issue there. If stock is missing in weclapp, Servire records what is available – the rest is shown by the stock discrepancy.
Goods receipts and other inventory movements from weclapp arrive in Servire . Names and prices are synchronized in both directions.
When an inventory count is running in weclapp, stock transactions are paused until it is completed or canceled – invoices and payments continue immediately. This process is called the inventory count.
During normal operation
The map shows the status: Connected, Setup open (then Continue setup), Invalid token (then Enter new token), Transfer interrupted (only if you need to take action – details in History), or Paused. The main button is **Reconcile item **; the menu ⋯ contains History, Settings, Inventory discrepancies, Add period (up to 90 days back), Check connection, and Disconnect.
If the transaction history shows Please settle in weclapp, you settle this payment manually in weclapp – for example, a non-cash partial payment or the cancellation of a written invoice.
If sevdesk or DATEV is also connected and weclapp itself forwards the data to the accounting system, sales will be recorded twice. Clarify with your tax advisor which method is being used for recording the transactions.
