Understanding the instructions in the duty roster

What the information on rest periods, youth protection, mini-jobs and on-call work means.

The duty roster checks each shift during the planning process. It never blocks shifts: a notification shows you what to look out for, but the decision is yours. You'll see the same notifications when publishing and approving requests.

The duty roster automatically adopts the limits for rest periods, maximum daily working hours, and breaks from the time tracking settings. There are no separate rules within the duty roster itself.

working hours

  • Rest period: There must be less than 11 hours between two shifts on different days; for a scheduled 10-hour shift, less than 10 hours. A split shift on the same day does not count. A shift at a different location does count.

  • Reduced rest period: only permitted with a set 10 hours. Allowed in restaurants, but must be compensated for within one month.

  • Maximum daily working hours: The shifts worked in a single day exceed the permitted working time, which is typically 10 hours.

  • Break too short: The planned break is not long enough for the duration of the shift.

  • Above weekly target: The person is scheduled for more time this week than their weekly target.

  • Overlap: Two shifts of the same person overlap. Different Location: She has a shift at a different establishment at the same time; you don't see the details.

Absence and wishes

  • Absent: The person has approved leave, is sick, or otherwise absent on that day. Absence requested: A request is still pending.

  • Cannot and No preference: The person entered this information themselves in the team area.

  • Fixed day off: According to employee dialogue, this person regularly has this day off.

Youth, mini-jobs and on-call work

  • Youth Protection: applies if the date of birth indicates a person under 18. Maximum 8 hours per day, 40 hours per week, and 5 working days; 12 hours of rest; 30-minute break after 4.5 hours and 60 minutes after 6 hours. Work only between 6 a.m. and 8 p.m., from age 16 until 10 p.m.

  • Minijob limit: The planned hours for a month no longer fall within the minijob limit. This message requires an hourly rate and only appears for users with Allowed to manage time tracking.

  • On-call: Lead time and On-call: Minimum duration: For on-call work, a shift must be published at least four full days in advance and last at least three hours. The time of publication is decisive.

Operation and staffing

  • Closed: The service is operating on a day of rest or a special closed day.

  • Open Ending: Until the very end on a day with no opening time; the end is unknown.

  • Other position: The person is not registered for this position.

  • Not connected: This person is no longer connected to your business.
